FAQ: GLG Screenshare & Video with Zoom as the Provider

GLG has worked with Zoom to develop a customized version of its platform that meets many of the unique needs of our clients. If you have any additional questions, please contact your Account Manager and Client Solutions Lead.

1. WHAT FEATURES CAN ZOOM OFFER FOR MY GLG VIDEO AND/OR SCREENSHARE MEETINGS?

Simplicity

  • Zoom app launches directly after the client and expert have viewed any reminders and prompts.
  • Users can access via any mobile device, laptop, or desktop.

Infrastructure

  • Zoom provides HD Audio + HD 1080p video (based on the equipment used). The quality of the meeting is impacted by the quality of the user’s internet connection.

Meeting Features:

  • Simple-to-use virtual backgrounds when video is enabled.
  • Option to block video and/or screen sharing.
    • Even when video and/or screen share are enabled, participants will initially join with the generic names “GLG Client” and “GLG Network Member” and video will be turned off, which will help maintain anonymity (blinding), where desired or required by firm policies
  • Recording and Transcripts
    • Ability to enable recording (audio and video) and transcripts.
      • Note: recordings and transcripts must be enabled in compliance rules. They must also be requested before the meeting is scheduled.
  • All standard reminders are presented before the meeting takes place.
  • Zoom integrates with GLG’s internal systems for record keeping and billing.
  • Chat feature is disabled.
  • Video recording of both camera and screenshared content.
  • Both Dial in and Call Me features are available. Phone numbers are proved on our Join Call page.

Security: Zoom and GLG have established additional security features to protect users’ meetings and data, including:

  • The link to the meeting brings the participant to a GLG webpage where they must agree to all compliance prompts prior to joining. Any other connection attempt not following this process is blocked.
  • In addition to call recording notifications from GLG, Zoom alerts attendees at the start of a meeting that it is being recorded so participants are aware and have the option to leave if they choose.
  • High level of encryption of your meeting data — including video and audio — while it is in transit.

2. WHAT FEATURES ARE NOT CURRENTLY AVAILABLE WITH ZOOM AS THE PROVIDER?

  • Anonymous Chaperoning (in development): If your firm requires chaperoning, your video/screenshare meetings will be hosted on another platform until chaperoning is available on Zoom. Please contact GLG Compliance with any questions.
  • Chat function, whiteboarding, and breakout room may be added in the future with appropriate compliance controls.

3. WHAT DO I NEED TO DO BEFORE MY FIRST GLG DISCUSSION WITH ZOOM AS A PROVIDER?

If your firm does not already have Zoom enabled, please contact your compliance team for approval. GLG’s Compliance team is available to answer any questions (GLGCompliance@glgroup.com). If approved follow these steps:

  • Download the Zoom application if you do not already have it. To offer the most secure environment for GLG calls, we recommend using a minimum version of Zoom If your version of Zoom does not meet the minimum requirement, you will be prompted to update prior to joining.
  • For single-blinded or double-blinded discussions, disable any saved custom backgrounds where your identity or employer may be revealed (see directions below).
  • Ahead of your discussion, you can familiarize yourself with Zoom’s video conferencing features and adjust your audio/camera before joining the meeting here: https://zoom.us/test. Please note that the test call is not an exact representation of the GLG Consultation experience. Zoom testing does not work when inside China.

4. HOW DO I AVOID BEING IDENTIFIED BY MY ZOOM BACKGROUND?

If you wish to remain anonymous or your firm has a requirement that you do so, please remove any custom, saved branded virtual backgrounds that would reveal your identity or your employer. To remove a custom, saved branded background:

  • Click into settings
  • Select “Background & Effects”
  • Update “Virtual Backgrounds” from the selected image to “None,” “Blur” or an unbranded background image.

5. WHEN SCREENSHARE/VIDEO IS ENABLED ON A PROJECT, DOES THIS FUNCTIONALITY EXTEND TO ALL PARTIES?

Clients, Network Members (NMs), and Moderator/Project Lead (if applicable), all have the same functionalities. It is not possible to restrict the settings to only the Network Member or the Client.

6. IS THERE A PREFERRED MODEL OF COMPUTER OR MOBILE DEVICE TO PARTICIPATE IN ZOOM CALLS?

Generally no, but it could impact the performance of some features. Computers and other devices with higher processing speeds may provide better performance. Wi-Fi connectivity may also affect performance.

7. WHY DID MY ZOOM APPLICATION UPDATE WHEN I WAS JOINING A CALL? WILL THIS HAPPEN EVERY TIME?

  • To offer the most secure environment for GLG calls, we recommend using a minimum version of Zoom. If your version of Zoom is found not to meet the minimum requirement, we will request that you update your Zoom prior to joining.
  • To minimize any delay in joining the call, please make sure the Zoom Application is updated before joining. Visit this link to see how to update Zoom.

8. WHO DO I CONTACT FOR ANY TECHNICAL DIFFICULTIES DURING THE MEETING?

Please reach out to the GLG Support /Scheduling contact who organized the call (the contact who sent you the confirmation calendar item) and your Client Solutions professional.

9. HOW DO I DOWNLOAD VIDEO RECORDING FILES?

  • The video player can be resized or collapsed at the user’s discretion.
  • A client user may need to toggle using the three dots menu in the lower right hand corner to expose the download options.
